Chief Operating + Financial Officer

The Chief Operating + Financial Officer (COFO) is a key leadership role for the Foundation. A thought partner and trusted advisor to the President & CEO and an integral member of the senior leadership team, the COFO will be responsible for providing strategic oversight, support and management of all financial and administrative resources which advance organizational excellence and support the Foundation’s operations and plans for growth and future expansion of funded initiatives serving the Brooklyn community. In partnership with the Leadership and Program Teams as well as external consultants, the COFO will plan and implement systems, controls and equitable business and operating practices to position the Foundation for positive long-term financial health and high-quality infrastructure resources to support the Foundation’s fundraising and grantmaking activities.

KEY RESPONSIBILITIES

Leadership, Vision + Strategy

  • Collaborate with the President & CEO, the Board and the Leadership and Program Teams to help implement the overall strategic plan including prioritizing all financial and operational plans to drive and support future growth and expansion.
  • Provide forward-thinking and inspiring leadership across all finance and administrative areas of the organization including oversight of the day-to-day operations and translation of the organization’s strategy into a shared vision and action plan.
  • Develop and implement financial strategies, systems and business plans that enhance the Foundation’s internal operating structure and support its fundraising and grantmaking programs and plans for future growth and impact.
  • Successfully lead organizational change initiatives and serve as the key leader driving innovation, transparency and continuous quality improvement.
  • Oversee the development, execution and communication of organizational priorities with clarity, transparency and enthusiasm.

Financial Oversight, Planning + Management

  • Oversee and lead all strategic and tactical financial planning and modeling in addition to the development of policies, practices and business processes that support the organization’s short and long-term financial health.
  • In collaboration with the Foundation’s President & CEO, Board and outsourced Chief Investment Officer, provide prudent oversight of all organizational assets including its investments/asset portfolio of approximately $100M and the investment activities related to these assets.
  • Provide oversight and management of a Controller and develop financial and budget reports, financial models, expense and revenue forecasting and the necessary controls to effectively manage budget, treasury and cash management issues.
  • Work closely with the Foundation’s external audit firm, financial management consultant and the Board Finance Committee to plan and oversee the organization’s annual audit and IRS Form 990 and other regulatory and tax filings.
  • Develop plans and systems to oversee the Foundation’s grantmaking activities as well as its contractual relationships with donors, fund holders and grantees to ensure accountability, contractual compliance and performance.
  • In collaboration with the Controller, prepare operating and community reports documenting the activities, financial performance and impact of the Foundation’s work and regularly present these results to the President & CEO and the Finance Committee of the Board. Stay abreast of emerging and best financial practices as well as other relevant regulations and requirements for tax exempt organizations.

HR/People Operations, Technology + Organizational Performance

  • Oversee the relationships and services provided by the Foundation’s outsource consultants in the areas of finance, technology and HR to ensure that resources in these areas are aligned with and effectively support the operational, philanthropic and programmatic needs and priorities of the Foundation.
  • Work with the Leadership Team to set organization-wide performance goals for staff. Develop analytic tools, KPI and dashboards to support data-driven decision-making across the organization and implement all necessary operational enhancements.
  • Maintain general oversight of organization’s work plans and ensure that the necessary operating structure and resources are in place to ensure that programs and projects are implemented with quality, impact and on deadline.
  • Provide a high-level of support to inform decisions the organization makes regarding financial and legal risks including developing and maintaining a risk management and contingency plan. Engage with legal counsel as needed on contracts and employment matters, policies, compliance and other pertinent legal issues.
  • Work closely with the Foundation’s HR Consultant to create a sound human resources strategy ensuring that employee voices are heard while guaranteeing that the work of the Foundation is achieved. Assess, recommend and implement efforts to strengthen organizational culture and operating structures centered in equity and inclusion. Oversee all people operations and programs including talent management, recruiting, performance, employee development, compensation, benefits and DEI.
  • Oversee the Foundation’s technology strategy and the activities of its external IT consulting firm to ensure that the Foundation has access to the appropriate technology infrastructure and resources to effectively support and advance its operations.

Team + Organizational Management

  • Articulate a clear and inspiring vision that motivates staff to rally around the vision with a shared sense of purpose, a commitment to integrity and a desire to meet or surpass individual and organizational goals.
  • Set check-in points to share feedback and define clear, measurable goals for team members.
  • In collaboration with department leaders, develop and implement plans for the integration of all organizational systems, processes and policies. Establish a process of continuous improvement to identify tools and systems that are needed to provide key financial and operational information to support organizational decision making.
  • Manage and mentor high performing teams within an equity-focused lens and foster the professional development of staff providing career path opportunities for rising talent within the organization. Promote a culture of respect built on collaboration, learning and accountability.
  • Align multiple constituencies including the Board of Directors, staff and other stakeholders around the core work of the organization.
  • Support the President & CEO in managing and coordinating documents and other actions required to prepare for all Board meetings.

CANDIDATE PROFILE

Strategic, Collaborative + Hands-on Leader: Forward thinking leader equally adept with vision setting, strategy and planning as with managing day-to-day operations of a small team responsible for delivering high quality financial and administrative resources which support operational excellence. A natural leader with exceptional people management skills, high emotional intelligence and a commitment to collaboration. Inspires staff to rally around a shared vision and common purpose to achieve organizational goals.

Financial + Operations Expertise: Knowledge across the domains of finance, HR, Technology, and risk management. A critical, solutions-oriented thinker with keen business and financial acumen including fluency and experience with investments, financial planning and modeling, financial systems, KPI and other metrics which support best financial practices and effective business decisions. Able to partner effectively with diverse internal teams and be a responsive thought partner and subject matter resource to staff.

Relationship Builder + Effective Communicator: Strong interpersonal, written and public speaking skills with ability to build authentic, trusted and sustained relationships with Board, staff and other organizational stakeholders. Proactively seeks input, feedback and suggestion to help foster an equitable and inclusive work environment and to help diverse groups find common ground and consensus. Comfortable serving as an organizational spokesperson when needed.

Impact Driven & Results Oriented: Project management and organization skills with the ability to manage multiple complex projects and balance competing priorities. Able to assess risk, make informed and timely decisions with sound judgment, and execute on deliverables and deadlines.

EXPERIENCE

  • A minimum of fifteen (15) years progressively responsible financial and operations leadership experience of which at least seven (7) were in a senior leadership or C-suite level role overseeing enterprise-wide finance and administrative operations for a substantial nonprofit organization, foundation or social impact enterprise of similar size, scope and complexity as the Foundation.
  • A proven successful track record of building “best-in-class” financial and administrative systems to support organizational effectiveness and impact.
  • Experience reporting financial results and performance to a Board and partnering with HR, IT and operations teams to manage financial systems and grant making practices.
  • Demonstrated experience using financial data, metrics and key performance indicators to assess operational performance in addition to tracking outcomes and the impact of system enhancements.
  • Bachelor’s degree in business administration or related field is required. MBA or MPA is a plus.

COMPENSATION

The Foundation strives to offer employees a competitive compensation and benefits package that reflects its core values and commitment to its staff. The salary range for this senior leadership role is $180,000 - $190,000 plus a robust benefits package that includes health, vision, dental and life insurance, 403b plan including matching employer contribution, generous paid time off, and an employee friendly work environment. This is a full-time role based in Brooklyn, NY that occasionally requires early morning, evening, and weekend work. The Foundation currently has a hybrid work arrangement.

Office Manager and Board Liaison

The Office Manager and Board Liaison works closely with the Chief Operating Officer (COO) to support the functioning, implementation, and management of the Foundation’s internal office operations to always ensure an inclusive and responsive office culture and climate. The Office Manager and Board Liaison is accountable and directly oversees the reception/front desk function and all Board activities.

This is a full-time position based in Brooklyn and reports directly to the Foundation’s COO with a dotted line to the President & CEO.

Responsibilities:

Executive and Board Operations Management

  • Manages CEO email account and voicemail daily
  • Acts as the primary Board liaison for all communications
  • Assists the COO and Chief of Staff on preparation for and execution of timely and efficient Board meetings
  • Assembles and prints Board Meeting Packet
  • Manages revisions and updates to Board Reference Guide
  • Manages revisions and updates to Board Member Contact List and Committee Assignment List
  • Ensures Board Drive is always updated and without errors
  • Records quarterly Board Meeting Attendance and Annual Attendance
  • Oversees Board Meeting calendar and invitations/RSVPs for Board and Staff
  • Manages Board Meeting space rental, room setup, technology, and food/beverage ordering and delivery
  • Records and prepares minutes for Board Meetings and specified Board committee meetings
  • Manages reconciliation of CEO and COO expenses
  • Posts open positions on job boards as directed by HR and COO
  • Creates meeting agendas as required for internal meetings
  • Ensures meeting set-up (office configuration, technology, food, etc.)
  • Other responsibilities as assigned

Operations & Systems Management

  • Responsible for the day-to-day management of the Foundation’s office
  • Manages the receptionist and front desk activities. Accountable, via receptionist, for office supplies including pantry items.   
  • Schedules all internal activities, including Board activities
  • Manages planning and execution of Foundation events (monthly birthday celebrations, staff outings, farewell events, holiday party, etc.)
  • Works with COO to procure new vendors to support operational functions and maintain vendor relationships.
  • When required, liaises with IT providers to ensure all technology (printers, phones, computers, etc. ) is always fully operational.

  • Ability to multitask,  work in a high-performance environment, with tight deadlines and changing priorities.
  • Demonstrated commitment to the Foundation’s vision and values, specifically racial equity, and social justice.

Salary Range: $75,000 - $78,000 annually
